Privacy Policy

Plymouth Rod & Gun Club (“PRGC,” “we,” “us”) is a private, non-profit Massachusetts corporation. We respect our members’ privacy. This policy explains what information we collect, how we use it, and the choices you have.

1. Who this policy covers

This policy applies to visitors of plymouthrodandgunclub.com and to members who use our online membership portal. It does not cover conduct on club premises, which is governed by the club bylaws and range rules.

2. Information we collect

We collect information you provide directly and a small amount of technical information necessary to operate the site.

You provide directly

  • Membership information — name, date of birth, mailing and email address, phone number, emergency contact, LTC/FID information (for eligibility only), sponsor, and application responses.
  • Household / family members — names and ages of dependents you authorize on a family membership.
  • Billing records — invoices, payment history, and (when you opt in) a Stripe customer reference for stored payment methods. We never see or store your full credit card number — payments are processed directly by Stripe.
  • Communications — messages you send through the portal, forum posts, event registrations, and range reservations.

Collected automatically

  • Access log — when you check in at the club, the gate system records the date, time, and which member card was used, for safety and security purposes.
  • Technical logs — IP address, browser type, pages visited, and timestamps. We use these for security (rate-limiting, fraud prevention) and to keep the site running, not for advertising profiles.
  • Cookies and local storage — required for you to stay signed in. We do not use third-party advertising cookies.

3. How we use information

  • Administer your membership — dues, renewals, orientation, range access.
  • Deliver the services you request — event registration, range reservations, digital membership card, forum participation.
  • Communicate with you about club business — dues reminders, event announcements, range closures, meeting notices, and emergency alerts.
  • Operate and secure the site — monitor for abuse, prevent fraudulent payments, diagnose bugs, keep backups.
  • Comply with applicable law.

We do not sell or rent member information to anyone. We do not share your information with advertisers.

4. Email and text message communications

We send transactional and operational messages (dues reminders, event confirmations, receipts, range alerts) by email and, when you have opted in, by SMS text message. You can change your preferences at any time from your member portal profile. For text messages, reply STOP to unsubscribe or HELP for help. Full SMS program details are at our SMS Terms page.

We do not provide mobile opt-in data or consent records to third parties for their own marketing purposes.

5. Service providers we rely on

We use a small number of vendors to run the site. They act as our data processors, are bound by contract, and see only the information needed to do their job.

  • Stripe, Inc. — payment processing. Stripe receives your name, email, billing address, and card data directly. We receive only the last four digits, card brand, and a Stripe reference ID.
  • Twilio SendGrid — transactional email delivery (receipts, reminders, notifications).
  • Telnyx LLC — SMS / text message delivery for members who have opted in.
  • DigitalOcean — hosting (application server and database).
  • Google Maps — embedded map on facilities page. Google’s own privacy policy applies to that component.

6. How long we keep information

We keep active member records for as long as you are a member and for a reasonable period afterward to comply with tax, accounting, and organizational recordkeeping requirements (typically seven years for financial records). Security and access logs are kept for a shorter, rolling window.

7. Security

We use industry-standard safeguards: HTTPS throughout, hashed passwords, signed webhook verification, rate limiting, least-privilege server access, and encrypted backups. No system is perfectly secure, but we work to protect member information and will notify you if a breach occurs that reasonably requires disclosure.

8. Children

The site is intended for adults age 18 and older. We do not knowingly collect personal information from children under 13. If you believe we have received such information, contact us and we will delete it.

9. Your choices and rights

  • Update or correct your information from your portal profile.
  • Unsubscribe from SMS by replying STOP.
  • Request a copy of the information we hold about you, or request that we delete it when you end your membership, by contacting the club secretary.

10. Changes to this policy

We will post any material changes here and update the effective date. If the change is significant, we will email active members.
